Umrah Companies in Jeddah: Translating Contracts with Overseas Agents and Partners

In short:

  • Contracts between Umrah companies and overseas agents are handled through the Masar Nusuk platform under the Ministry of Hajj and Umrah.
  • Many agents work in their own languages, so both sides need a text they understand precisely.
  • Accuracy in names, dates, figures and obligations matters more than elegant style.
  • We sign an NDA on request, and an urgent service is available for an extra fee.

Jeddah is the main gateway for millions of pilgrims every year, and many of its Umrah companies deal daily with agents and partners in Indonesia, Pakistan, Turkey, Nigeria, Egypt and beyond. Every season brings the same need: Umrah contract translation, along with annexes and correspondence, so that each party knows its rights and obligations in a language it understands.

This article is for company owners and contract managers. It covers the documents involved, the risk points in translation, and how to prepare your file before the season.

The framework: where contracting happens

The Ministry of Hajj and Umrah regulates the relationship between local Umrah companies and overseas agents, and contracts are created and approved electronically on Masar Nusuk. The national government services portal describes the flow: the company creates a contract, selects the agent, enters the details, uploads the required documents and submits it for approval.

We are not involved in these procedures and do not give regulatory advice. Platform rules and required documents are set by the Ministry and may change from season to season, so check with it directly. Our role is translation: making sure the text both sides read is accurate and consistent.

Documents that need translating in this sector

Agency or cooperation agreement

The core contract between company and agent, usually covering scope of services, prices, payment terms, responsibilities and cancellation.

Supporting service contracts

Hotel accommodation, transport and catering contracts. An overseas agent may want a translated copy to understand what its pilgrims will receive.

Annexes and amendments

Changes to prices, numbers or dates usually come as annexes. A common mistake is translating the main contract and forgetting the annexes, leaving the two parties with different texts.

Company documents

Commercial registration, articles of association and authorisations, which a foreign partner may ask for to verify your company. See our company document translation service.

Correspondence and claims

Notices, payment claims, meeting minutes and any letters that might later become evidence in a dispute.

Why accuracy is harder than it looks

Names

Agent, hotel and city names can be spelled several ways. We keep one spelling across the whole file, based on the official registered form.

Dates

This sector mixes Hijri and Gregorian dates, and one day’s error in an arrival or departure date can mean a penalty or an unbooked room. We carry dates over exactly and only convert between calendars if you ask us to.

Figures and currencies

Numbers of pilgrims, prices, percentages and currencies are checked line by line against the original.

Obligations

The difference between “shall” and “may” is not just a language point. Translating “may” as an obligation can change a whole party’s duties. We translate contracts in a disciplined legal style, and a second translator reviews every one.

Agents’ languages, from Indonesian to Hausa

We translate to and from almost any language: Indonesian, Urdu, Turkish, French, Malay, Bengali and African languages such as Hausa and Swahili, as well as English. If an agent works in English but its pilgrims speak another language, we can also translate summaries and pilgrim instructions into that language. See our legal and contract translation service.

Common mistakes in Umrah contract translation

  • Relying on machine translation: useful for a rough idea, but it often muddles legal terms and changes the meaning of cancellation and compensation clauses.
  • Translating a draft: the contract changes after translation and the parties sign two texts that do not match. Order the translation once wording is final, or send us changes as they happen.
  • Skipping tables and schedules: price tables, pilgrim numbers and timetables are part of the contract and need the same care.
  • No governing language: if the contract is signed in two languages, it helps to state which prevails in case of conflict. That is a legal decision for the parties, not the translator, but we will flag it.

Is a bilingual contract the better option?

Some companies prefer a two-column contract, Arabic on one side and the agent’s language on the other, so both parties read the same clause on the same line. It makes review and negotiation easier and reduces misunderstandings. We can prepare this layout if you ask in advance.

Confidentiality

Company contracts contain sensitive prices and commercial terms. Every file is handled confidentially, and we can sign a non-disclosure agreement before receiving your documents.

A practical pre-season plan

  1. Gather the main contract and all annexes in one ordered file.
  2. Note the language each agent needs.
  3. Send us a list of official names (company, agent, hotels) so we standardise them.
  4. Order translations well before the peak.
  5. Review the translation with your team and send any comments before final stamping.

Peak weeks are busy. Our urgent certified translation service is available for an extra fee shown in your quote, but planning early is always better value. If your company also imports supplies through Jeddah port, see our guide to certificate of origin translation.
